How do I create a new Invoice?

You can make new invoices from scratch or create invoice templates, which can be used time and again for commonly-invoiced items or sessions. Either way, it's easy to create a brand-new client invoice!

Create an Invoice

To create a new invoice, go to Studio > Invoices and click New Invoice. To make an invoice from scratch, 
select the With a brand new invoice option. To use an invoice template you've already created, click With a template you've saved. 

First, link a contact to the invoice with the blue Add Client button. Then set the Issue Date, Final Due Date, and Language. The Issue Date is when you'll send the invoice to your client. The Final Due Date is the date when the entire invoice must be paid in full.

In the Items section, add line items by clicking the Add Line Item button. If you've created a Line Item Template, select it from the drop-down menu. To create a new line item, give it a name, optionally add a description, and set the quantity and price. To make the line item taxable, check the Taxable box. If you mark any items as Taxable, make sure to click the + Add Sales Tax button to set the tax rate. You also have the option to add a discount in this section. To add notes or special instructions for the client on your invoice, add it in the Notes to Client section.

If you'd like your client to be able to pay for their invoice in installments, toggle on the Payment Schedule option. Here you can set up a pre-payment option and installments. 

In the Online Payments section, allow your client to pay online with a credit card. Toggle on the Tipping On option to let clients add a tip amount to their invoice. Here you can determine whether clients will see the tipping option on every installments or upon final payment and set tipping amount suggestions. Your client will still have the opportunity to set their own tip amount when paying. 

To add an invoice email campaign to the invoice, select the email campaign from the Email Notifications drop-down menu.

To adjust the colors, font, and logo for your invoice, click Theme.  Here you can see a preview of what the invoice will look like both in a desktop and mobile view. 

Once you're done, click Create Invoice. 

Preview and Send an Invoice

Once it’s been saved, you can click the overflow button in the top right corner and select Client View to see what your client will see when you send the invoice to them. You can even click on the buttons on this preview page to get a better feel of your client’s user experience. 

To share the invoice with your client, click Email Client. If you have a Contract linked to the invoice, you can send both documents at once by clicking Send Documents. 

Click Add Payment if you need to add a cash, check, or credit card payment to the invoice.
